Booking data

Bookings are recorded by days of the month, for each room defined by the hotelier. Color coding is available for faster and easier orientation of free and occupied rooms, as well as for marking completed payments for services. You can also get additional information about each specific booking with just one click, such as guest name, booking period, room price, total price for the period, and additional notes from the receptionist. There are options to modify booking data, cancel, or move the booking to another available room.

Room and staff administration

After registering and activating the main administrator account, you acquire full rights to manage rooms that you wish to track and offer for bookings. You can define and add rooms, add notes to them, set seasonal prices for each room, record the room number (which could correspond to the actual room numbering in your hotel for quicker orientation), and assign a number for sorting rooms in the booking system. You can activate or deactivate a room at any time or remove it from the system. When a room is activated from your account, the corresponding amount for the period during which the room was active will be charged. The minimum period for charging is 1 day, and the price for one active room for one day is 0.03 EUR. If the room is added but not activated, no bookings can be recorded for it, and it will not incur charges.
BookingRecords, provides the ability to add employee work accounts, where you can add names, photos, contact numbers, define their login and password, activate, deactivate, or delete the account of your employee who might have left or misused their privileges during work. The main administrator account can define access levels, such as manager and receptionist. From the employee section, you can track who is logged in and online at the moment.

Seasonal and flexible pricing

For your convenience, the software allows you to predefine different prices for various seasons or periods, which can later be selected from a dropdown menu when entering booking data. Prices can be set by administrators with higher access levels and apply to a room or apartment for a one-day stay. After entering the start and end dates of the booking, the software automatically calculates the price for the entire period. If you decide to enter a different price (e.g., a discount or higher charge due to a client request), the software allows you to input a free price that was not predefined by the administrator.

History, action logs

The booking software tracks each login of your employees into the system, recording the date and time down to the second. The IP address from which the login occurred is also recorded. This way, you can check for unauthorized access or see if your receptionist is actually at the reception or logging in from another location. Additionally, the software tracks every change made to a booking, such as changes in guest name, booking date, price, etc., and who made the change or attempted to make it. This account has full access rights which include performing all possible operations related to processing and servicing bookings, administering (adding and editing) the number, room types and numbers in the hotel, access to statistics and action history, setting room prices for different seasons or periods, and adding new accounts, editing passwords, changing active status, and defining access levels. Main administrator account - suitable for the hotel owner or general manager. Access level - manager - the account, as the name suggests, is suitable for the manager, head manager, or supervisor of the hotel. It has all the access rights as the main administrator account, except for access to the generated profit data and the ability to add accounts. Access level - reception - this account is suitable for receptionists and allows them to work with and service the hotel bookings. Adding new or editing already registered bookings, as well as quick search by client name. This type of account does not have access to statistics and action history. Access level - observer - for demonstration, monitoring, or training of staff.
